About the Role
Virtual Administration Ltd is seeking a highly experienced Virtual Personal Assistant to support a niche group of private healthcare professionals, including occupational therapists, case managers, and neuropsychologists. This is a remote, freelance role ideal for someone with strong administrative skills, excellent communication, and a passion for supporting healthcare clients.
Key Responsibilities
- Manage email and phone enquiries on behalf of clients
- Take and transcribe minutes from Zoom meetings (live and recorded)
- Proofread and format complex reports and documents
- Create and manage Excel spreadsheets with filters and formulas
- Organize events and meetings
- Generate invoices using online software
- Use bespoke patient record systems
- Handle audio transcription and general admin tasks
Required Skills & Experience
- Minimum 3 years PA experience at director level
- Strong written and verbal English (grammar, punctuation, proofreading)
- Excellent organizational and multitasking abilities
- Proficiency in Microsoft Office, especially Outlook and Excel
- Experience with QuickBooks and CRM tools is a plus
- Confident, empathetic communicator with a calm, professional demeanor
- Able to work independently and manage multiple priorities
Technical & Legal Requirements
- UK residency and right to work
- Own computer, printer, scanner, and reliable internet
- Desktop version of Microsoft Outlook
- Cybersecurity measures in place
- Understanding of UK GDPR and patient confidentiality
