Role Overview
This Executive Assistant position is a growth-focused role designed for a highly organized and resourceful individual who can support the founders in managing their time, operations, and strategic initiatives.
The ideal candidate thrives in a fast-paced, entrepreneurial environment and enjoys problem-solving, multitasking, and executing high-level tasks.
Key Responsibilities
Administrative & Executive Support
- Manage executive Google calendars with precision (15-min detail level)
- Organize & draft responses in Gmail inboxes on behalf of executives
- Schedule appointments, coordinate meetings, and implement automation tools
- Act as gatekeeper for founders’ time & energy
Operations & Logistics
- Plan & coordinate logistics for podcasts, content shoots, events, & meetups
- Book travel & accommodations for business trips & engagements
- Support project management for hotel renovations, operations & short-term rentals
- Coordinate bookkeepers, payroll, vendor payments, and wire transfers
- Assist with onboarding new hires
Content & Brand Growth
- Research potential podcast guests, speaking opportunities & partnerships
- Schedule & coordinate content creation with the team & founders
- Launch & manage campaigns related to branding, podcasting, or real estate projects
- Leverage AI tools to enhance workflow efficiency
Reporting & Systems Management
- Track KPIs & project milestones through simple dashboards & reports
- Maintain organized systems in Asana, Notion, or similar platforms
Personal Assistance (As Needed)
- Provide occasional personal support to the founders
- Travel as needed for events, content shoots, & on-site logistics
Required Skills & Qualifications
- 2+ years of experience as an Executive Assistant or similar role
- Exceptional organizational skills & ability to follow through on tasks
- Proficiency in:
- Google Workspace (Gmail, Calendar, Drive)
- Asana / Notion / Monday
- ChatGPT / Claude (or similar AI tools)
- Calendly, Zoom, Slack
- Basic spreadsheet & reporting
- Strong discretion in handling sensitive information
- Self-starter mentality with problem-solving & research skills
Bonus Skills
- Familiarity with real estate, podcasting, or personal branding
Work Schedule & Expectations
- Full-Time: Monday–Friday (8-hour shifts)
- Occasional evening or weekend support may be required
